Parent communication without weekend burnout

The challenge

The network's 60 tutors were teachers, not administrators, yet hundreds of parent messages a week dragged them into scheduling changes, progress updates and billing questions, much of it landing on evenings and weekends.

The admin load caused real burnout: tutors gave their best energy to logistics instead of teaching, and parents got inconsistent, slow replies depending on which tutor and how tired they were.

Progress updates suffered most, writing a thoughtful summary after every session simply didn't happen when a tutor had six students and a personal life.

The solution

A parent-communication agent now absorbs the admin so tutors can teach and rest:

• Scheduling off the tutor's plate, the Schedule Manager Agent handles changes and reschedules over WhatsApp and SMS, syncing to Google Calendar so no tutor fields "can we move Tuesday?" at 9pm.
• Progress summaries, auto-generated, the Parent Concierge Agent turns session notes into clear progress updates for parents, so the update actually gets sent every time.
• Billing questions answered, routine billing and package questions are resolved from the Knowledge Base without pulling in a tutor.
• Consistent across 60 tutors, one instruction built in the Configuration Wizard keeps tone and accuracy uniform regardless of which tutor a family is with.
• Real concerns escalated, anything sensitive about a child's progress routes to the tutor via Hand-off Control with full context.

Tutors stopped burning out on weekend admin, parents got prompt, consistent communication, and progress updates went from "when there's time" to every session.
