The setup
Domus Group is a real estate agency with 24 agents covering Kyiv. Lead volume is high, hundreds of inquiries per day from Instagram, WhatsApp and their website. Before automation, they were missing 70% of overnight leads.
How the agent works
Three things happen on every inbound: qualification, scheduling, handoff. The qualifier asks about budget, location, timeline and intent. The scheduler maps property type to the right agent's calendar and books a viewing. Handoff packages the conversation and sends it to the agent before the viewing.
What we tuned over time
First version felt robotic. We added small-talk warmth (a small effort that paid off in conversion). Second version asked too many questions; we cut it from 7 to 3, with the rest gathered conversationally. Third version is current.
Results
3.5× more viewings booked. 70% of missed leads now recaptured. $2.1M in additional pipeline in the first six months.
