What Analytics & Quality Control is, and who it’s for

MyChatBot gives you two pages with the numbers behind your Sales Platform. Analytics shows sales KPIs, what your conversations cost, and how orders, revenue and traffic split across channels. Quality Control is the supervisor view of your human team: how fast managers reply after a handoff, how the workload is spread, and where leads sit in the funnel.

It is built for the people who run the business rather than answer every chat: owners, heads of sales and team leads. It shows whether the AI agent pays for itself, which channel brings orders, and whether handed-over customers get a timely answer.

Both pages are visible to account admins only. Operators keep working in Active chats and do not see these pages in their sidebar.

How the numbers are produced

  1. Conversations. Your AI agent talks to customers on the connected channels. Each conversation is tied to its channel, the agent that handled it and, when one is detected, the ad or UTM campaign that brought the customer.
  2. Orders. When the agent creates an order during a chat, or an order or deal in a connected CRM, the sale is recorded and stays linked to that conversation. You can also add an order by hand with Create order on the Orders page.
  3. AI usage. Each reply draws AI messages from your balance. Multiplied by your account’s per-message price, this becomes Total cost and Average chat cost.
  4. Handoffs. When a chat moves from AI to a manager, the clock starts. The manager’s first reply and the return to AI stop the Quality Control timers.
  5. Filters. Because each sale is tied to its conversation, you can slice revenue by Agent, Channel, Campaign, Pipeline, Status and Labels for any Date range. Every filter is written into the page URL, so a colleague opens exactly the same view from a link.

What you see on the dashboard

General statistics

Eight cards: Total sale, Number of sales, Active chats, Average chat cost, Total cost, Average sale, Average chat msgs and LTV. Each card compares the selected range with the period of the same length right before it. The header shows your remaining AI messages and a Top up messages button.

Scenario analytics

A cost-accounting view with one card per project (AI agent) and one row per scenario inside it: Expenses by channel, Messages sent, Unique clients and Total cost. The project with the highest total cost opens expanded at the top, so you see first where the budget goes.

Channel charts

  • Revenue by Channel and Orders by Channel show which channels actually sell.
  • Messages by Channel and Platform Usage show where the traffic comes from.
  • Client Status in CRM splits clients by funnel status.
  • Message Usage tracks AI messages over time and opens a detailed view with Last 7 days, Last 30 days, Last 6 months and Custom range presets.

Quality Control

Summary cards for Unassigned active leads, Team members tracked and Assigned active leads, plus a row per manager with Availability, Active leads, Avg first response, Replied handoffs, Total handoffs, Total proc. time and Quality score. The Funnel distribution chart shows where leads currently sit across stages.

Channels and integrations behind the data

The Channel filter lists the channels seen in your data, whether that is the Website Widget, WhatsApp, Telegram, Instagram, TikTok, Facebook, Viber, email, SMS or another channel your agents run on. Comparing Revenue by Channel with Messages by Channel shows whether a busy channel also brings money.

Revenue can come from several order sources:

  • the built-in Orders integration, where the agent creates, updates and cancels orders right in the chat;
  • Spreadsheet Orders, where each order is written as a row into a Google Sheet;
  • orders or deals the agent creates in a connected system such as KeyCRM, SalesDrive, Bitrix24, Kommo, HubSpot, Zoho, Salesforce, GoHighLevel or Altegio. A copy with the deal amount is kept on the platform for analytics.

The Pipeline, Status and Labels filters use the pipelines, statuses and labels from your Lead Processing setup, so a clean funnel chart starts with clean labels and statuses. See every connector on the integrations page and how lead data flows on CRM sync.

Prefer an email to a dashboard? The built-in Personal Assistant in the Agents Platform, with Sales Platform tools, Schedule & delegate and the Gmail connector switched on, can send you a weekly digest of pipeline changes, notable customer chats, orders and revenue.

When people take over, and what to keep in mind

Quality Control measures the moments when a human steps in. A handoff starts when someone switches a chat’s AI toggle off, an operator replies while AI is on, the operator types the stop word, or the agent hands over by itself, depending on what you enabled in Handoff Control. It ends when the chat returns to AI, manually or through Auto return from handoff (24 hours by default). More on the human handoff page.

Avg first response is plain wall-clock time, so nights and weekends count. The Quality score comes from an AI reviewer that reads finished handoffs and rates tone, helpfulness and whether the customer’s need was addressed, from 0 to 100. It runs in batches a few times a day, and per-conversation scores are not shown, so to check a number you open that manager’s chats.

A few limits worth knowing:

  • Sales cards count orders only. Moving a lead to a won status or adding a label does not create revenue.
  • Amounts are never converted. If orders arrive in several currencies, Total sale adds the raw numbers.
  • An AI message is a metering unit, not one chat bubble. Long histories, documents and heavy tool use draw more per reply.

How to set it up

  1. Connect at least one channel to your agent so conversations start coming in.
  2. Start recording orders: Integrations → Order Management → Orders, pick a currency and click Connect, or connect your CRM. Keep all order sources in one currency.
  3. Set up labels and pipeline statuses so the funnel charts and CRM filters are meaningful.
  4. Add your operators on the Operators page and configure Handoff Control in the agent’s settings.
  5. Open Analytics, choose 7 days and one agent, and bookmark the filtered URL for your weekly review.
  6. Turn on Enable auto top-up so the agent does not stop mid-conversation when the message balance runs out. Plans are listed on the pricing page.

Frequently asked questions

Where do the revenue numbers on the dashboard come from?

Total sale, Number of sales, Average sale, LTV and the revenue and orders charts are calculated from orders recorded on your account. An order is recorded when the agent creates one in a chat through the Orders integration, creates an order or deal in a connected CRM, or when you add one by hand. Moving a lead to a won status does not create revenue.

Which CRMs and order tools feed the analytics?

The built-in Orders integration, Spreadsheet Orders, and orders or deals created in KeyCRM, SalesDrive, Bitrix24, Kommo, HubSpot, Zoho, Salesforce, Monday, GoHighLevel, Odoo, OneBox, Sitniks or Altegio. For external systems, a copy with the deal amount is kept on the platform for analytics.

What does Average chat cost actually measure?

It is the AI messages a conversation used, multiplied by your account’s per-message price. That price depends on your plan and AI model and is the same for every channel and scenario. A message is a metering unit, so long histories, documents and tool use cost more per reply.

Can operators see Analytics and Quality Control?

No. Both pages are visible to account admins only, and operators do not see them in the sidebar. To share a filtered view with another admin, send the page URL: it carries all selected filters.

How is the manager Quality score calculated?

An AI reviewer reads each finished handoff and rates the manager from 0 to 100 on tone and professionalism, helpfulness and relevance, and whether the customer’s need was addressed. Scoring runs in batches a few times a day, and the percentage is the average over the selected dates. There is nothing to configure.

What happens if I sell in more than one currency?

Amounts are shown in the currency your orders are recorded in and are never converted. If you mix currencies, Total sale adds the raw numbers together, so keep all order sources in a single currency.

Can I get the numbers without opening the dashboard?

Yes, through the Agents Platform. The built-in Personal Assistant with Sales Platform tools, Schedule & delegate and the Gmail connector can email you a weekly summary of pipeline changes, customer chats, orders and revenue. It runs on your agents budget, so it needs a plan that includes one.
