Integrations Overview

MyChatBot offers a wide range of integrations with CRM systems, scheduling tools and other business software.

Introduction

MyChatBot integrates with popular CRM systems, schedulers and other business tools. Once a tool is connected, your assistant works directly with the software you already use: it can look up a customer, create a lead, book an appointment, update an order and keep funnel statuses in sync, all inside a normal conversation.

This guide walks you through connecting a tool, choosing fields, syncing statuses and testing the result.

What you need before you start

  • An assistant. Integrations are configured per assistant, so create it first: Create Your First AI Agent.
  • Access to the tool. Depending on the tool, you either approve access on the provider’s own login screen (OAuth) or paste credentials such as API Key, Domain, Client ID and Client Secret, or Username and Password.
  • A suitable plan. On the Standard plan, or with no active plan, only Spreadsheet Orders can be connected; every other card shows PRO until you upgrade. See Pricing.

Connect a tool step by step

  1. Open Integrations in the left sidebar.
  2. Pick the assistant in the dropdown in the page header. The title changes to Integrations for followed by the assistant name.
  3. Pick a tool under Available Integrations.
  4. Authenticate. For OAuth tools click Connect and approve access with the provider. For the others, fill in the Create new integration form for that tool.
  5. Click Submit. The button stays disabled until every required field is filled. After saving, the tool’s card shows a Connected chip for this assistant.
  6. For a CRM with pipelines, click Sync statuses and wait for the message that synchronization has completed successfully.
  7. Test it: message your assistant on any connected channel with something that touches the tool, such as contact details or a booking request, and confirm the record appears in the external tool.

Options that matter

Choose what the assistant can fill

For most CRM systems the Entities & Data Fields Configuration panel appears after connecting. Turn on Use Leads, Use Deals or Use Entities, depending on the CRM, and tick the fields per entity. Where the CRM has pipelines, choose where new records land with Select Leads Pipeline or Select Deals Pipeline. Under Phone Lead/Deal/Entity Settings you can require a phone number before the assistant writes a record. Save with Apply fields.

Keep the funnel in sync

The Funnel Status Sync panel pulls the CRM’s pipeline statuses so the assistant moves a lead through the right stages. Statuses are synced to the assistant’s assigned pipeline, so run Sync statuses for every assistant that uses the CRM, and again whenever you change pipelines or stages.

Reuse a connection

If another assistant already has the tool connected, the panel You can choose from established connection appears. Open Select Existing Connection, pick a connection and click Choose this integration. MyChatBot creates a copy for the current assistant, so field selections, pipeline and sync settings can differ between assistants.

One CRM and one scheduler per assistant

Once a tool in CRM Systems shows Connected, the other CRMs gray out for that assistant. Altegio, Wlaunch and Google Calendar are mutually exclusive in the same way.

Common problems and fixes

  • The card shows PRO. The tool needs a higher plan. Tools that are already connected keep working.
  • Submit stays inactive. A required field is empty. Check the tool’s setup guide for the values to paste.
  • Other CRMs are grayed out. This assistant already has a CRM. Turn off Connect agent to this integration in the current CRM’s settings first.
  • The tool works for one assistant but not another. Integrations are per assistant. Switch the header dropdown to the other assistant, then connect again or reuse the existing connection.
  • Lead statuses do not match the CRM. Run Sync statuses again for each assistant after any pipeline change and check the selected pipeline.
  • Your tool is not listed. Add it through Custom MCP: enter MCP Name and MCP URL, then tick the tools to expose and click Apply tools.
